Athabasca University's Faculty of Health Disciplines is recruiting for a permanent, full-time Administrative Assistant, Student Services.

FHD actively promotes research excellence and is home to two Canada Research Chairs in Regulation, Social Governance, and Inequities in Health as well as in Resurgent Methodologies for Indigenous Health. Faculty members are engaged in programs of research in a variety of health-related areas. The Position:
Reporting to the Faculty Manager, Faculty of Health Disciplines (FHD) through various Team Leads within the faculty, the Administrative Assistant, Student Services provides administrative and operational support to the FHD Student Services teams. The role focuses on supportive administrative functions, including data entry, record maintenance, document tracking and filing, registration support, processing student-related requests, and researching or verifying information across AU systems, and periodically supporting the team with triaging and redirecting prospective student inquiries as needed. The successful candidate will be adept at working with both current and evolving AU systems, delivering respectful, confidential, and professional service to students and colleagues alike.

Qualifications:

  • High school diploma required; Office Administration Certificate or Diploma preferred
  • Minimum of two years of experience in administrative support, preferably in a post-secondary environment, is required
  • At least one year of experience in student-focused or client-service-focused communication is preferred
  • Ability to work one day from AU main campus 1 to 2 times per month or as needed would be considered an asset
  • Strong computer, database, data entry, and records-management skills are required
  • Experience managing telephone inquiries and triaging student cases is crucial
  • Proven customer service skills in providing frontline support for prospective students 
  • Proven ability to work productively in a remote work setting
  • Proficiency in Microsoft 365 Office applications is required; familiarity with MyCreds, Alfresco, CRM Recruit, Ellucian SRM, Greymatter, Amazon Connect, Brightspace, and Banner is an asset
  • Excellent written and verbal communication, organizational, and time-management skills
  • Demonstrated tact, diplomacy, and ability to maintain strict confidentiality
  • Ability to work both independently and collaboratively in a team environment
